Our top priority is to provide you with an exceptional stay, and we recognize that the privacy of our guests is an integral part of that commitment. Our guest privacy policy is outlined below.

Acceptance of the Hotel Guest Privacy Policy

ÇİFTAY collects only the information it deems necessary to provide the best possible service and product (“Personal Information”), in addition to the information it is required to collect from its customers under applicable law.

Customer information is kept confidential within the security conditions provided by ÇİFTAY, and access to such customer information by ÇİFTAY employees and officials is regulated within the framework of ÇİFTAY’s internal operating policies; customer information cannot be shared with any person or institution except in cases of necessity specified by law. Only ÇİFTAY-managed hotels may use your Private Information for marketing purposes.

In the case of services obtained from external sources, contracts signed with the service providers must include a clause regarding the confidentiality of customer information, and the service providers and their employees are required to comply with confidentiality and secrecy rules.

Customer information may only be shared with other institutions at the request of the customer, except with courts and official institutions.

The Privacy Policy is part of ÇİFTAY’s terms and conditions and governs our hotel services. By accepting the stated terms and conditions, you agree to comply with the Privacy Policy.

ÇİFTAY may occasionally request that you provide the following Personal Information about yourself or your family members, including but not limited to:

  • Contact information, such as name, phone numbers, email addresses, postal addresses, etc.
  • Other personal information: date of birth, nationality
  • Children’s information: name, date of birth, and age
  • Credit card details (only in transaction-related systems)
  • Any loyalty program membership card number or frequent flyer membership number or any other ÇİFTAY partner. This may include, but is not limited to, the IHG Rewards Club.
  • Your check-in and check-out dates/visits to our hotels;
  • Your preferences and interests, e.g., smoking or non-smoking room, preferred room location (lower floor, upper floor, etc.), bed type, preferred newspaper, sporting and cultural interests
  • Your questions/comments during or after your stay at one of our hotels.

We do not intentionally collect Personal Information from children under the age of 18 other than their name, date of birth, and nationality, provided directly by an adult on their behalf or without the consent of adults. Please ensure that your child does not provide Personal Information to us without your consent, for example, on the internet.

If you believe your child has provided us with Personal Information, please contact us so we can delete the Personal Information.

Generally, we do not intentionally collect sensitive information, such as race or ethnicity, political opinions, religious or philosophical beliefs, trade union membership, health, and details of sexual life.

Additionally, depending on applicable law, other data considered sensitive information beyond those mentioned above may include: credit card number, personal activities and hobbies, entertainment habits, cultural habits, smoking status, etc. However, we may collect some of this information that is considered sensitive in order to meet your specific service requests, such as a personal diet or any disabled access event. In such cases, if required by applicable law, we will obtain your explicit consent to collect and process such sensitive information.

Personal information is collected in certain situations, as described below, but not limited to:

We use your Personal Information for the purposes listed below:

  • To reserve hotel rooms and requested accommodations;
  • To create and maintain business records and fulfill accounting requirements;
  • For back-office operations: managing the list of unwanted guests; records of misconduct or non-payment, etc.;

  • For access to rooms.

In order to improve our accommodation services, including:

  • To process your Personal Information within ÇİFTAY’s Customer Relationship Management (CRM) program;

  • To tailor our products and services to your preferences;
  • To send newsletters, promotions, and marketing materials, or to contact you regarding tourism, accommodation, or services, hotel promotions, and ÇİFTAY Turizm & Otelcilik AŞ partners;
  • To improve our services, including:
  • To conduct surveys and analyze guest questions and comments;
  • To manage guest complaints;
  • To enable you to benefit from our loyalty program;
  • To keep your internet website usage secure and improve it, including:
  • To improve website access;
  • To prevent damage and increase security;

Sharing Your Personal Information

ÇİFTAY aims to provide the same level of service and hospitality at all hotels owned and managed throughout Turkey. In this context, in light of your rights outlined below, we may share your Personal Information with internal and external recipients in the following ways:

ÇİFTAY may share your Personal Information with other ÇİFTAY company hotels owned or managed by ÇİFTAY, or with authorized individuals who require access to your Personal Information in order to provide the requested service, or in the context of actions taken upon your provision of your Personal Information.

This sharing may include the following groups (but is not limited to):

  • ÇİFTAY Management Team employees.
  • Reservation staff using ÇİFTAY Reservation Tools;
  • Information Technology, commercial partners, and marketing department;
  • Medical services, if applicable;
  • Legal department, if necessary;
  • Any relevant person at ÇİFTAY for specific data categories.
  • External service providers and partners: Your personal information may be shared with third parties to provide the requested service and improve your stay with us: Third-party service providers: IT contractors, business partners, local authorities – internal investigations: we may also share your information with local authorities in accordance with local laws or investigations.

International Transfers

We may transfer your personal information to recipients located in countries with different levels of personal information protection, whether internal or external.

Therefore, in addition to the current application of the Privacy Policy, ÇİFTAY implements appropriate measures to ensure the security of your Personal Information when it is transferred to another ÇİFTAY unit or to an external recipient located in a country with a different level of protection than the country where your Personal Information was collected, including contractual provisions.

Data Security

ÇİFTAY takes appropriate technical and organizational measures in accordance with local laws to protect your Personal Information against accidental or unlawful destruction, accidental loss, unauthorized disclosure, or access. In this context, technical measures such as firewalls and organizational measures such as login/efficient password systems, physical protection, etc. are implemented.

You may be required to enter your credit card information to complete your reservation; in this case, ÇİFTAY encrypts such Personal Information using Secure Socket Layer (SSL) technology.

Your Personal Information will only be stored for as long as necessary for the purposes specified in the Privacy Policy or as permitted by applicable law.

Access and Modification

You have the right to access, modify, or delete your Personal Information.

In order to protect the privacy of all ÇİFTAY guests, we need to properly verify your identity to fulfill your request. In this context, we may ask you for a copy of a valid ID, such as a driver’s license, passport, or ID card.

If your Personal Information is incorrect, incomplete, or out of date, please submit your correction request to the ÇİFTAY Data Privacy department. Any correction request will be handled as soon as possible or in accordance with applicable law via the contact details provided above.
